On behalf of our client, based in central Wellington, we are looking for an Operations Manager to drive this agency to new heights! You’ll oversee all operational and financial aspects of running the agency and proactively streamline processes to enhance efficiency and effectiveness.

This is a varied and exciting role, the successful candidate will lead financial tasks and set up the team to convert enquiries into long-standing client relationships. You’ll also be across internal HR and recruitment requirements and ensure the agency environment is welcoming and primed for creativity, with a great culture.

 The breakdown

We are looking for an Agency Operations Manager with:

  • Min 8+ years of experience in a client service and/or project management-focused role with a financial management component. Solid experience in a fast-paced creative or design agency experience is preferred.
  • Proven experience in a leadership operational or office management role.
  • Familiarity with digital and/or creative marketing or agency ecosystems.

Key Responsibilities…

Financial and Operational Leadership:

  • Supervise agency workflows, from quotation to execution to invoicing.
  • Enhance project management processes by advancing the use of online tools.
  • Administer client invoicing and budget reconciliation for campaigns alongside the agency’s Suits.
  • Lead internal financial operations using Xero.
  • Streamline payroll processes, manage staff leave and handle core HR responsibilities.
  • Coordinate the logistics for business travel.
  • Work with the accountants and business advisors on big-picture initiatives.

 Strategic approach to New Client Integration:

  • Set up the agency and team to convert enquiries and leads into long-standing client relationships.
  • Ensure timely and tailored responses to new client inquiries.
  • Manage the agency response to new inbound leads, RFP’s and client onboarding.

 HR, Culture and Environment Stewardship:

  • Manage internal HR and Recruitment from onboarding to performance reviews.
  • Ensure the agency is a welcoming environment, well presented and primed for creativity.
  • Oversee procurement and maintenance of office essentials.
  • Champion office safety, shared space functionality and wellbeing.
  • Plan and execute internal events, fostering a sense of community and team spirit.
  • Maintain high standards of hospitality for client and staff encounters.

 The reward

  • Salary of $100,000 - $120,000 per annum + Kiwisaver

Mandatory requirements

  • Relevant tertiary design qualification (A minimum of a BCom degree in Business Administration, Accounting, Management, Marketing, or a related discipline.
